撰写通知时,首先需要明确邮件的目的,然后具体说明当前的状况和变更事项。如果需要客户回复,需明确回复内容和回复时间。

以下是一个给客户的通知模板(告知某系列产品停产的通知,包括:1. 直接告知产品停产 2. 具体说明现有库存状况 3. 询问可能产生的影响 4. 要求在明确的时间内回复 5. 说明可能的替代方案)

Subject: Product Update for GL collection

Dear XXX Team,

Good day. Hope you are well.

Allow me to update that we have plans to discontinue GL collection from China. Here, attached please find the current stock list for your review. Please advise if you would like to retain any items for inventory.

Other than that, please advise if you have any projects that specify GL collection. If so, kindly provide the item details, size, estimated quantity, and required date; we will collaborate to determine how to manage the sourcing based on your information. We appreciate your feedback and any concerns regarding the discontinuation of GL collection by the end of next week.

Last but not least, we have plans to introduce a new version later, but not at this time. We will keep you informed of any new developments.

1. 通知进展情况

1)常用句式

eg. Here to update the production status of XXX. (此邮件是告知xxx产品的生产状况。)

eg. To update, I am attaching all the related documents against the Hong Kong Project for your reference. (向您汇报最新的进展情况,我附上了关于香港工程的相关文件以供您参考。)

eg. Please feel free to contact me if you have any questions or comments about the report. (如果您对报告书有什么问题或意见,请告诉我。)

2)通知推迟的消息

eg. The jobsite is asking for a 10 days time extension. (工地要求延期10天。)

eg. We are now 30 days behind schedule, so we have to push back the grand opening to early July. (目前我们比原定的时间推迟了30天,所以我们需要把开业日期延迟到7月初。)

3)告知好消息

eg. The feedback from other customers has been extremely positive. (其他顾客的反馈非常积极。)

eg. Good news! I cannot wait to share with you that our Malaysia and China factory are in full operation again. (好消息!我迫不及待的想要和你分享我们的马来西亚和中国工厂已经全面开工。)

4)告知坏消息

eg. I have some bad news. (我有一些坏消息)

eg. Unfortunately, the end-user refuses to grant a time extension. (遗憾的是用户拒绝答应延长期限。)

eg. Due to the weakening USD, our sales in May have taken a beating. (由于美元疲软,我们五月份的销售额遭受重创。)

2. 要求回复

tips: 最好给一个deadline,即最终回复截止日。

1) 常用句式

eg. Alex, I need your decision/answers as soon as possible. (Alex,我需要您尽快回复。tips: as soon as possible = ASAP)

eg. Appreciate if you could let us know by 3pm tomorrow. (希望您明天下午3点前给我们回复。)

eg. Please advise when will be convenient for me to call you. (请告诉我最好什么时间给您打电话。)

2) 要求提供信息

eg. Would you mind sending me the meeting minutes by end of today? (您介意在今天结束前把会议记录发给我吗?)

eg. Please allow me to seek your comments against the proposal which I sent you yesterday? (请允许我征求您对我昨天发给您的提案的意见。)

3. 告知价格变动

有没有小主会很苦恼,应该怎么通知客户价格的变动?其实告知客户价格的变动,无外乎要说明变动的价格、实行的日期等。如果是涉及涨价的话,则要把原因简单说明一下。

1) 告知价格上涨

eg. Due to the recent escalation in raw material, we have no choice but to raise the price of the following products by 5%. (由于最近原材料价格的上涨,我们只能将如下的产品价格提高5%。)

eg. The new prices will go into effect on July 1, 2020. (新的价格将从2020年7月1号起开始生效。)

eg. As you know, we haven't raised our prices in the last 2 years. (您知道,我们已经2年没有提价了。)

2) 告知价格下降

eg. We are happy to announce that we are able to pass on the savings to our customers by offering a 5% discount for any order confirmed by the end of this month and to ship on Dec ETD 2020. (我们很高兴地宣布,我们可以把节省下来的费用传递给我们的客户,对于任何在本月确定的订单并且能在年底前出货的话,都可以享受5%的折扣)

4. 告知出差及访问

以下是一个出差前的邮件模板(去年去缅甸出差前给客户写的邮件),通常我都会先电话沟通出差的大致时间和内容,然后在邮件中正式预约客户的时间。

Dear XXX,

Good day.

As per our conversation today, we would like to propose a visit to Yangon as follows:

16 Sept 2019: arrive Yangon at 8:25 am

Agenda:

- Visit Yangon showroom

- Review 2019 Q3 - Q4 sales projections and market situation. Review product and sales strategy.

- Review China and Malaysia samples (please assist to bring the sample to the showroom)

- Brief the Myanmar sales team about the new product

17th & 18th Sep 2019

Agenda:

- Visit to warehouse

- Visit project site/customer (awaits XXX advise proposal)

18th Sep 7:25 pm: I will depart Yangon back to China.

Please advise if you are OK with the above by the end of this week, then we shall proceed with the visa application process and flight booking.
